About Phoenix Medical Group

Phoenix Medical Group is an established healthcare organisation operating in the UK and Europe. Our activities include pharmaceutical and herbal product development, quality-controlled supply and distribution, healthcare education and professional services.

We are looking for a proactive and detail-oriented Compliance Assistant to support our pharmaceutical quality and Good Manufacturing Practice activities.

Job Summary

The Compliance Assistant will support the Head of Group Operations in maintaining the company’s Quality Management System and ensuring that pharmaceutical activities follow GMP requirements, company procedures and regulatory standards.

The role will involve document control, compliance records, staff training, deviations, CAPA, change control, supplier records, audits and inspection preparation.

Key Responsibilities

1. Quality Management System

Maintain and update GMP policies, SOPs, forms and records.
Ensure documents are reviewed, approved and kept up to date.
Maintain compliance registers, trackers and schedules.
Monitor compliance with internal procedures and report concerns.
Support quality reviews and continuous improvement activities.

2. Document Control

Prepare, format, issue, archive and control GMP documents.
Maintain accurate version control.
Remove obsolete documents from use.
Maintain electronic and paper quality records.
Support good documentation and data-integrity practices.
Assist with batch documents, specifications and certificates.

3. Deviations, CAPA and Change Control

Record and monitor deviations, incidents and compliance issues.
Support investigations and root-cause analysis.
Maintain CAPA and change-control records.
Follow up actions and ensure they are completed on time.
Monitor the effectiveness of corrective actions.

4. Complaints and Recalls

Record and support investigations into product quality complaints.
Maintain complaint, defect and recall records.
Support product-recall and mock-recall exercises.
Ensure relevant internal and external parties are informed when required.

5. Suppliers and Service Providers

Maintain records for manufacturers, laboratories, importers, distributors and other service providers.
Collect and file licences, GMP certificates, audit reports and quality agreements.
Maintain the approved supplier register.
Monitor document expiry and renewal dates.
Support supplier assessments and performance reviews.

6. Audits and Inspections

Support internal audits, supplier audits and customer audits.
Maintain audit schedules, reports and follow-up actions.
Prepare documents for regulatory inspections and enquiries.
Track audit findings and corrective actions.

7. Training

Maintain GMP training records and the company training matrix.
Coordinate induction, SOP and refresher training.
Monitor overdue training.
Assist with training materials and attendance records.
Provide basic guidance on document control and SOP compliance.

8. Regulatory and Product Support

Support the maintenance of pharmaceutical product and regulatory records.
Assist with quality and technical agreements.
Support regulatory document requests and correspondence.
Help maintain product specifications, testing records, stability information and packaging documents.
Monitor relevant changes in UK GMP guidance.

9. General Support

Work with Operations, Quality, Regulatory Affairs, Warehouse, Purchasing and Customer Service teams.
Liaise with manufacturers, laboratories, importers, auditors, consultants and Qualified Persons.
Provide administrative support for pharmaceutical quality projects.
Carry out other reasonable compliance-related duties.

Essential Requirements

Experience in compliance, quality assurance, document control or administration within a regulated environment.
Basic understanding of GMP and quality-management principles.
Excellent attention to detail.
Strong organisational and time-management skills.
Ability to follow written procedures accurately.
Good Microsoft Word, Excel and Outlook skills.
Good written and verbal communication skills.
Ability to handle confidential information.
Proactive, reliable and able to meet deadlines.
Ability to work independently and as part of a team.

Desirable Requirements

Experience in a GMP-regulated pharmaceutical organisation.
Experience using an electronic Quality Management System.
Experience supporting audits or regulatory inspections.
A relevant qualification in pharmacy, pharmaceutical science, chemistry, life sciences, quality management, regulatory affairs, business administration or a related subject.
