About Esteem Team CIC:

Esteem Team CIC is a not for profit organisation that supports children, young people and their families who may be neurodivergent or whom struggle with their mental health. We provide a range of bespoke services for children aged 5-25.

Our passionate team provides bespoke support for children, young people and families across Exmouth, creating safe, inclusive environments where everyone feels valued. We're now looking for an organised and compassionate individual to join our growing team and help keep our organisation running smoothly.

Role Overview:

The administrator role is pivotal to the smooth day-to-day running of the organisation. This role is vital for overall operational admin.

Working Hours: - 28.75 hours per week - 38 weeks Term Time per year (08:45-15.00 with a daily(unpaid) break of 30 mins (timing to be agreed)

Salary: Actual £18,026.25 (£1502.19 per month)

Main Duties & responsibilities (not exhaustive):

Take an active role in agenda preparation and minute taking for complex meetings.
Provide operational support relating to EHCPs, Early Help, staff recruitment/HR processes and record keeping.
Ensure an understanding of safeguarding issues relating to children and other stakeholders
Maintain an understanding of the ethos of safeguarding record keeping.

Administrative & Operational Support:

Manage attendance, emails, enquiries and logging staff/child sickness/holiday.
Support Provision Managers and Managing Director with administrative tasks.
Manage supplies, ordering equipment and resources.
Order supplies and resources (with finance Manager)

Communication:

Oversee parent/carer daily/practical communications.
Provide a first point of contact service for community, parents/carers, visitors, staff and other outside agencies.

Person Specification:

GCSE Maths and English A-C Grade or equivalent 9-5, (Essential)

Attainment of level 3 qualifications or equivalent (e.g. A Levels) (desirable)

Business Administration qualification, (desirable)

Professional Experience

Minimum of 2 years practical experience of working in an office environment, providing administrative support. (Essential)

An excellent track record of recent, relevant professional development (Essential)

Experience of working with Google Workspace and Google Drives (Essential)

Experience of working in a busy office

Further experience of educational procedures relating to EHCPs, Early Help and/or staff recruitment/HR processes

Knowledge

Able to demonstrate working knowledge of Google, Microsoft Word and Excel and the use of standard office equipment. (Essential)

Experience of agenda preparation and minute taking. (Essential)

Knowledge of administration practices and procedures (Essential)

Knowledge and awareness of the importance of confidentiality and data protection (Essential)

An understanding of the ethos of Safeguarding record keeping (Essential)

An understanding of SEND systems, culture, policies and procedures

Understanding of budget monitoring

Knowledge of safer recruitment processes

An understanding of safeguarding issues relating to children and other stakeholders
