Overview

We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is vital in ensuring the smooth operation of our administrative functions and providing exceptional support to our staff and clients. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive approach to managing daily office tasks. This paid position offers an excellent opportunity for individuals looking to develop their administrative expertise within a professional environment.

Responsibilities

Manage incoming calls with professional phone etiquette, directing enquiries appropriately
Handle data entry tasks accurately using programmes such as Microsoft Office, Excel etc
Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
Assist with scheduling appointments, meetings, and maintaining calendars for staff members
Prepare correspondence, reports, and other documents as required
Support invoicing and financial record keeping through Xero or similar accounting software
Coordinate office supplies procurement and inventory management
Provide general administrative support to team members to facilitate efficient workflow

Skills

Proven office experience with strong organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Excellent typing speed and data entry accuracy
Strong administrative experience with the ability to handle multiple tasks simultaneously
Exceptional phone etiquette and communication skills
Ability to work independently with minimal supervision while maintaining attention to detail
Good understanding of clerical procedures and organisational policies
Ability to adapt quickly to new software programmes and office systems
