Job Overview

Kokoro is a growing physiotherapy-led clinic built on exceptional client care. We believe every person who walks through our doors should feel welcomed, listened to and genuinely cared for. We are looking for a warm, organised and dependable Receptionist / Client Care Coordinator to become an important part of our small, friendly team.

This is much more than a reception role. You will help keep the clinic running smoothly while creating an outstanding experience for every client. It is ideal for someone who enjoys organisation, administration and helping people, and who is looking for a meaningful part-time position in a calm, supportive environment.

Responsibilities

Welcoming clients and creating a friendly first impression.
Answering telephone and email enquiries professionally.
Managing appointments and the clinician's diary.
Taking payments and assisting with invoicing when in clinic.
Supporting private medical insurance administration.
Using systems including Cliniko and Xero (training provided where appropriate).
Helping improve administrative systems and clinic processes.
Ordering clinic supplies when required.
Providing occasional support with appointment marketing and social media

Experience

Previous experience in reception, administration, office management, customer service or healthcare administration would be advantageous.
Warm, kind and naturally personable.
Highly organised with excellent attention to detail.
Confident using computers and learning new software.
Comfortable working independently and using initiative.
Professional, reliable and discreet.
A confident communicator in person, on the phone and by email.
Someone who enjoys bringing structure and organisation to a growing business.
Experience with booking systems (such as Cliniko), accounting software (such as XERO) or experience working in private healthcare is welcomed but not essential.

We're not looking for someone to answer the phone. We're looking for someone who will become the heart of our client experience.

This role would particularly suit someone who has built a successful career in administration, customer service, office management or a similar professional environment and is now looking for a rewarding part-time role where their experience can make a genuine difference to someone's experience of healthcare.
