Position Overview

We are a prestigious, fast-paced Private GP practice based across Chelsea and Pimlico, catering to a discerning patient base, including high-net-worth individuals and families. We are seeking an adaptable, highly organized, and polished Self-Employed Medical Secretary / Contractor to join our elite healthcare support team immediately.

While we have established frameworks, this is not a rigid "tick-the-box" role. Every patient case and every single day is different. We need a forward-thinking contractor who possesses exceptional attention to detail but can also think outside the box to problem-solve on the fly.

Please note: This contract requires a reliable in-person presence across our Chelsea and Pimlico clinics. Hybrid and remote working flexibility is available depending on your experience and workflow performance, but this is not a full-time remote contract.

Key Responsibilities

Patient Coordination: Manage patient appointments, consultations, and complex clinic calendars across multiple doctors with absolute precision and courtesy.
Systems Management: Work confidently within our core practice management software, specifically Semble and Meddbase, to handle patient administration, registrations, and clinic workflows.
Communication Hub: Professionally handle incoming calls, emails, and correspondence from premium patients, family offices, and external specialists.
Medical Administration: Prepare and process medical documentation, specialist referrals, letters, and clinical reports (including audio typing where required).
Clinical Tracking: Review, track, and log laboratory results, diagnostic imaging, and provider portals to ensure no detail or follow-up is missed.
Billing Support: Assist with invoicing, payment tracking via Xero, and processing insurance claims where necessary.
Data Integrity: Maintain highly accurate, secure, and confidential patient records in strict accordance with GDPR regulations.

Requirements & Qualifications

Experience: Proven administrative or secretarial experience within a private GP practice or private healthcare clinic is essential.
Software Proficiency: Hands-on experience or strong familiarity with Semble and/or Meddbase. Must be highly tech-literate and comfortable working on Apple/Mac systems.
Mindset: Superior attention to detail combined with the ability to think outside the box. You must be comfortable with ambiguity, shifting priorities, and dynamic problem-solving.
Location Flexibility: Ability to reliably commute to our clinic locations in Chelsea and Pimlico.
Communication: Flawless written and verbal English, with the emotional intelligence required to interact with high-net-worth clients and senior medical consultants.
Compliance: Must be registered as self-employed, hold an enhanced DBS check (or be willing to undergo one), and handle your own tax/NIC contributions.
