Full job description

Role summary

Jigsaw is seeking an organised, efficient and experienced Administrator to be responsible for the administrative tasks required to support the medical care for autistic children and young adults in a special school setting. You will oversee the completion of Individual Healthcare Plans, emergency procedures and records linked to medication administration and management and first aid on a day-to-day basis, and report findings from the records to the School Management Team. You will also play an integral role in ensuring all required training is undertaken and recorded in line with the school’s policies and procedures

How will you contribute to the Team?

Conduct routine check of medication and associated equipment in line with agreed protocols
Liaise with parents and Supervisors in the creation and annual review of pupil Individual Healthcare Plans
Liaise with parents, medical professionals and school staff to draw up and review emergency procedures and medication protocols
Engage with medical services, outside agencies and parents to organise and record immunisations and visits
Monitor, review and respond to first aid incident logs and providing feedback to staff and management
Produce monthly data reports for the School Management in relation to incidents and pupils’ medical needs
Arrange and contribute to the School’s Medical Emergency Response Team (MERT) meetings and debriefs
Follow up sickness absences with families and monitoring individual and school-wide illnesses and infections
Monitor and organise medical training records and refresher sessions as needed across the School
Ensure the medical room and first aid supplies are checked and adequately replenished
Ensure all medication administration and medication records are completed in line with the school’s policies and procedures and in line with data protection laws and School GDPR policies and retention schedules
As a trained first aider, provide first point of contact for staff members in need of medical support
Provide general administrative support to the senior management teams and administration team
Support the operations of learner transitions upon arrival and departure
Cover reception duties in the absence of the Front of House Administrator
Assist with minuting taking in meetings and with Trust wide events
Carry out assigned tasks in the event of a drill or real emergency

To be successful in this role you will need:

Good general education to A-level standard or equivalent, with a minimum GCSE grade C/4 (or equivalent) in English and Maths
Excellent organisational skills
Proven experience in delivering outstanding administrative support
Outstanding customer service skills, with a pleasant and friendly manner
Strong IT skills, with the ability to confidently use Microsoft applications including Word, Excel, Outlook, and online database systems
The ability to communicate effectively, both verbally and in writing, with a wide range of audiences
A proactive team player who can work with initiative
The ability to prioritise tasks and work logically in a high-pressure, fast-paced environment while remaining calm and professional
A flexible approach, with the ability to adapt to changing circumstances when needed
The ability to maintain confidentiality and keep accurate records and reports
Experience of working in a medical, school or care environment would be an advantage, but is not essential

Salary: £16,460 Pro-rata salary based on 27.5 hours per week 39.2 weeks per year (£26,000 FTE)

Contract terms: Monday to Friday 9:30am – 3.30pm Term Time Only

Annual leave: 12.8 Weeks per year (Including Bank Holidays) - 5.6 weeks paid
