Full job description

Background

St Paul’s Centre is a well-established local charity based in the centre of Crewe. Since 1986 it has provided a range of services focused on meeting local practical need. It is a growing charity inspired by its Christian beliefs and driven by a passion to help and support people in their times of hardship.

The Operations Administrator is a crucial role supporting the Head of Operations and Retail in managing logistics, warehousing and health and safety, ensuring that maximum levels of efficiency, productivity and effectiveness are achieved throughout the charity. The Operations Administrator will act as a point of contact for internal and external stakeholders, facilitating communication between different departments, and disseminating information as needed.

Main Tasks

Answering queries from internal and external customers and suppliers via mail, email, telephone, or in person, providing information or assistance and managing third party relationships and key accounts.

Handle incoming and outgoing correspondence and administer goods inwards in accordance with internal policies and procedures.

Scheduling collections and deliveries for donations and retail sales and handling enquiries relating to the fulfilment, amendment or cancellation of appointments.

Maintaining accurate and up to date records at all times and ensuring all policies and procedures are followed.

Collate sales and inventory data to provide statistical data required in preparing KPI reports, adding benefit to pricing models and assisting operational decision making.

Support the Retail Team with inventory tracking and stock taking.

Supporting the Operations Administrator in all areas of fleet management and logistics.

Delivering exceptional customer service to achieve improved customer satisfaction. Welcoming and interacting with all visitors to identify their needs and provide the correct advice or direction.

Enforcing health and safety procedures and regulations and assisting with weekly checks.

Developing an in-depth knowledge and understanding of how the charity’s activities support the many community-based projects delivered by the charity and understanding the true worth of each customer to the charity’s objectives.

Person Specification:

Essential:

Strong Organisational Skills - The ability to handle various tasks simultaneously, managing schedules, tasks, and resources efficiently in line with current and forecasted needs.
Excellent Time Management Skills - The ability to prioritise tasks, manage multiple responsibilities, and meet deadlines.
An Effective Communicator - Able to liaise with all departments and functions to ensure coherent ways of working and ensuring that information is shared freely throughout the organisation.
Someone who thrives on challenge and who can identify problems and generate effective and correct solutions.
Analytical Thinker – You must have the ability to assess and report data as required for managment reports.
A Problem-Solving Aptitude and a ‘can-do’ attitude.
Someone who is adaptable and thrives in a dynamic and changing environment.
Attention to detail – Must have a clinical approach to detail, accuracy and factuality.
Team player – Must be flexible and able to balance own workload whilst contributing to a wider team with varying levels of priority.
Proven Ability - At least 2 years in a similar role.
A minimum of GCSE English & Maths at grade 4 / C.
Proficiency in Microsoft Office Suite - Experience with Word, Excel, PowerPoint, and Outlook.
