Job Overview

We are seeking a dynamic and organised Office Administrator/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and a welcoming environment for visitors and staff alike. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to handle multiple tasks efficiently. This paid position offers an exciting opportunity to be the first point of contact for our organisation while contributing to overall office productivity.

Duties

Greet visitors and clients with professionalism and enthusiasm, creating a positive first impression
Manage incoming calls with courteous phone etiquette, directing inquiries to appropriate team members
Maintain the reception area, ensuring it is tidy, organised, and welcoming at all times
Handle data entry tasks accurately using Microsoft Office applications, Google Workspace and Sage as needed
Schedule appointments, meetings, and coordinate office logistics to optimise workflow
Assist with administrative tasks such as filing, photocopying, and preparing correspondence
Support office supply inventory management and place orders when necessary
Perform clerical duties including typing documents, updating records, and managing email communications

Qualifications

Proven office experience with strong organisational skills and attention to detail
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and Sage
Excellent phone etiquette and communication skills to interact professionally with clients and team members
Demonstrated administrative experience with data entry and clerical tasks
Strong organisational skills with the ability to prioritise tasks effectively
Ability to type quickly and accurately in a fast-paced environment
Familiarity with office equipment such as printers, scanners, and phones is preferred
Previous experience in customer service or reception roles is a plus
