Job Overview

We are seeking a proactive and highly organized Personal Secretary to support a Regional Operations Manager in coordinating daily activities, managing communications, and ensuring smooth operational flow across multiple locations. This dynamic role offers an exciting opportunity to be the backbone of regional operations, providing essential administrative support that drives efficiency and productivity. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and a positive attitude to help streamline processes and facilitate effective decision-making.

Duties

Manage the Regional Operations Manager’s calendar, schedule appointments, meetings, and travel arrangements with precision and foresight.
Handle incoming calls with professionalism, practicing excellent phone etiquette while directing inquiries appropriately.
Prepare, review, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
Perform data entry tasks accurately into various systems such as QuickBooks for financial record-keeping and other administrative databases.
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records.
Assist with clerical duties including photocopying, scanning, mailing, and inventory management of office supplies.
Support regional operations by coordinating logistics for meetings, events, and training sessions as needed.

Qualifications

Proven administrative experience supporting senior management or regional teams in a fast-paced environment.
Strong organizational skills with the ability to multitask efficiently and prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and familiarity with QuickBooks is highly desirable.
Excellent data entry skills with high accuracy; typing speed should be efficient to handle multiple tasks swiftly.
Previous office experience involving clerical work such as filing, record keeping, and correspondence management.
Exceptional phone etiquette combined with clear communication skills for professional interactions.
Ability to adapt quickly to new software tools or procedures while maintaining a positive attitude.
