Full job description

We are looking for a friendly, organised, and motivated Receptionist/Administrator to join our busy GP practice team. This is a key front-facing role, providing excellent customer service to patients while supporting the smooth running of reception and administrative functions. The successful candidate will thrive in a fast-paced environment, demonstrate strong communication skills, and be committed to delivering high-quality patient care.

Key Responsibilities

Reception Duties

Provide a professional, welcoming, and courteous service to patients and visitors
Answer incoming telephone calls promptly and effectively
Book, amend, and cancel appointments using the clinical system
Respond to patient queries in person, by telephone, and online
Maintain a clean, tidy, and safe reception environment

Administrative Duties

Process prescription requests in line with practice protocols
Scan clinical correspondence
Support clinicians and practice manager with administrative tasks
Maintain accurate patient records in line with GDPR requirements

Patient Support and Care Navigation

Signpost patients to appropriate services including community and NHS Wales services
Support care navigation and demand management processes
Provide information on practice services
Remain calm and professional when dealing with challenging situations

Communication

Communicate effectively with patients, colleagues, and external organisations
Maintain strict confidentiality at all times
Handle sensitive information appropriately

Compliance and Governance

Follow all practice policies and procedures
Adhere to safeguarding requirements for children and vulnerable adults
Comply with health and safety, infection control, and data protection standards
Participate in training, audits, and quality improvement activities

Person Specification

Essential

Excellent communication and interpersonal skills
Ability to work in a busy and sometimes high-pressure environment
Strong IT skills
Good organisational and time management skills
Professional and confidential approach

Desirable

Experience in a customer service or administrative role
Previous GP practice or NHS experience
Knowledge of EMIS clinical system
Understanding of NHS Wales services
Ability to speak Welsh or willingness to learn

Additional Information

Flexibility to cover shifts as and when required
