Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily operations, ensuring the smooth and efficient functioning of our office environment. Your proactive approach, exceptional organizational skills, and positive attitude will help foster a productive workplace. This paid position offers an exciting opportunity to develop your administrative expertise while supporting a collaborative team dedicated to excellence.

Duties

Manage front desk operations, including greeting visitors and handling phone inquiries with professional etiquette
Maintain accurate records through data entry, filing, and document management using Microsoft Office and Google Workspace tools
Process invoices and financial transactions using Xero & similar accounting software
Supporting workshop staff to keep customers informed of jobs in progress
Handle confidential information with discretion while ensuring compliance with company policies

Skills

Proven office experience with a strong understanding of administrative procedures
Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Effective phone etiquette and communication skills to interact professionally with clients and team members
Experience with clerical functions such as filing systems, data management, and record keeping
Familiarity with Xero or similar financial software is a plus
