Full job description

Position Purpose: The key purpose of the role is to ensure the smooth running of the business, the key areas of responsibility are to:

1. Support the Sales and Operations Coordinator and Head of Operations with the administration of sales enquiries and orders, including entry into the Unleashed system

2. Building customer relationships and managing allocated accounts

3. Entry of repair orders into the Unleashed system

4. Packing and shipping of products including raising shipping notes and invoices in the Unleashed system

5. Using courier specific systems to book shipment.

6. To assist the Head of Operations with progressing the weekly production schedule

7. To assist the Operations Co-ordinator by ensuring all parts are picked for production in a timely manner and the correct paperwork generated to maintain traceability.

8. To assist the Head of Operations by ensuring sufficient stock is available for product manufacture.

9. Ongoing collaboration with suppliers regarding on time deliveries, purchasing forecasts and free issue material.

Essential Position Functions:

Key Duties are to:

· Being an intermediate user of the Unleashed system

· Sales Order Entry utilising and updating the sales order book in Unleashed and correspondence with allocated Customer Accounts

· Delivery of products and services to customers utilising the Shipping and Invoicing functions in Unleashed ensuring product traceability is maintained throughout this process

· Processing customer repair orders in Unleashed

· Progressing the production plan with the workshop team to ensure deadlines are met.

· Kiting new assemblies using unleashed.

· Changing master component data on unleashed.

· Liaising with the workshop on a day-to-day basis.

· Adherence to Eye Technology Quality standards and external legislative standards

· Compliance to the Eye Technology Health and Safety policies

· Working collaboratively with colleagues, peers and managers

· Identify opportunities for own self-improvement, training & development

· Performance targets for on-time delivery and Customer satisfaction

· Proactively undertake continuous training and development in accordance with company training accreditation, with an emphasis on self-development

· Undertake appraisal.

· Supporting the Sales and Customer Service Manager at Exhibitions

IT – keeping up to date with IT systems in the workplace to produce consistently accurate documentation
Team working – fostering an environment of teamwork to ensure that all products are delivered on time and company goals are met.

Adaptability – adapting to the demands of the business which may require tasks to be completed for other departments to assist with backlogs
Problem Solving – responding to the ever-changing environment and reacting quickly to overcome challenges

Position Requirements

A thorough appreciation of the systems and processes used to manage the Sales Order demand and the mechanisms to fulfil the Order book. A firm understanding of Microsoft applications specifically, Word and Excel are a requirement. Become an intermediate user of Unleashed with an ability to troubleshoot straightforward transaction problems or escalate to a Super User or Helpdesk if a complex problem arises.

Develop an awareness of the industry, the trends of the market and the medium and long-term demands that Eye Technology needs to appreciate and undertake to maintain its competitive advantage, through attendance of annual exhibitions.

Pay: £25,420.00-£26,500.00 per year
