Job Summary

We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will support daily administrative operations, ensuring the office runs smoothly and efficiently. Your positive attitude, strong organizational skills, and attention to detail will help foster a productive work environment. This paid position offers an excellent opportunity to develop your administrative expertise while contributing to a collaborative team.

Duties

Manage front desk responsibilities including greeting visitors, answering phones with professional etiquette, and directing inquiries appropriately
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks as needed
Maintain organized filing systems, both digital and physical, to ensure quick retrieval of documents and records
Assist with scheduling appointments, meetings, and calendar management for team members
Support administrative tasks such as preparing reports, processing invoices, and managing correspondence
Conduct basic office supply inventory checks and coordinate procurement when necessary
Collaborate with team members to streamline office processes and improve overall efficiency

Qualifications

Previous office experience demonstrating strong organizational and administrative skills
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and QuickBooks
Excellent phone etiquette with the ability to communicate clearly and professionally
Strong typing skills with attention to accuracy and speed
Experience with data entry and clerical tasks in a fast-paced environment
Demonstrated organizational skills to manage multiple priorities effectively
Knowledge of office equipment such as printers, scanners, and fax machines is a plus
