DENTAL ADMINISTRATOR REQUIRED FOR A PRIVATE PRACTICE IN WEMBLEY

We are looking for a friendly, organised, and proactive experienced Dental Administrator, with strong maths and analytical skills, to join our young, vibrant, and enthusiastic team. Our practice is purely private, offering high-quality cosmetic dentistry and orthodontics. We’ve been finalists in the Dentistry Awards for six consecutive years and pride ourselves on delivering an exceptional patient experience from first enquiry to final smile.

The ideal candidate will be confident in handling patient communications, enquiries, and reception duties, with excellent attention to detail and a warm, professional manner.

The position is for 1–2 days per week (9:30 am – 5:30 pm), with additional days available to cover colleagues’ absences as needed.

Key Responsibilities

Managing staff rotas, schedules, annual leave, and absence records
Assisting with payroll preparation and staff administration
Producing weekly and monthly business performance reports
Monitoring KPIs, treatment conversion rates, revenue, and practice performance
Supporting budgeting, financial forecasting, and business planning activities
Tracking practice targets and identifying opportunities for growth and efficiency
Managing patient bookings, clinician diaries, and appointment utilisation
Processing payments, invoices, and financial records accurately
Following up on patient enquiries from website, phone, email, and social media channels
Liaising with clinicians and management to ensure the smooth running of the practice
Maintaining accurate records and ensuring compliance with practice procedures
Supporting marketing initiatives and patient follow-up campaigns
Providing a professional and welcoming experience for all patients

Requirements

Previous experience in a dental practice administration, practice management, or senior reception role
Strong organisational and multitasking abilities
Experience managing staff schedules and administrative processes
Strong understanding of payroll, financial reporting, and business administration
Ability to analyse business performance data and produce reports
Confident using Dentally, Microsoft Excel, Google Workspace, and other practice management systems
Excellent communication and customer service skills
Strong attention to detail and ability to work independently
Positive, proactive, and professional attitude

Details

Job Type: Part-time

Hours: 1–2 days per week (9:30am – 5:30pm), with additional cover days available as required

Pay: Competitive and dependent on experience

Location: In person – Wembley, HA9 8RB
