Full job description

Legal Secretary/Personal Assistant

Rahman Lowe is a specialist employment law firm based in Canary Wharf, London. We are ranked as a leading firm for employment law by the Legal 500 and Chambers & Partners independent guides to the legal profession. The firm acts for both employers and employees.

We are looking to recruit a highly motivated Legal Secretary/Assistant to provide a first- class professional support service to a Partner and other fee earners, as may be required. We are looking for somebody with great organisational skills and a passion for accuracy. You will be responsible for –

acting as a first point of contact for the partners;
providing a high quality administrative and support service;
extensive telephone coverage and ensuring calls are answered confidently and covered at all times;
effective management of the electronic diary and co-ordination with both internal and external clients – ability to juggle calendar at short notice;
organising meetings and booking an extensive range of meetings (both remote/virtual and in-person);
making sure printing/documents are ready in advance of meetings;
liaising with clients;
dealing with routine administration, digital dictation and typing correspondence;
raising bills, invoicing clients and chasing unpaid bills;
organising and maintaining effective filing systems, processing expenses;
general assistance with litigation and preparing hearing bundles;
assistance with the preparation of PowerPoint slides and marketing material for events;
photocopying, arranging couriers and taxis, filing and ordering stationary.

You will have excellent IT/technical skills and knowledge of Microsoft packages, including Office, Excel and PowerPoint. The successful candidate will also have excellent inter personal and team working skills and, in particular, a confident telephone manner. An excellent command of English, both written and spoken, is also required.

Qualifications required:

1) GCSE Maths and English essential for the role, with good grades (or equivalent qualifications);

2) Legal Secretarial qualification or equivalent, desirable but not essential;

3) At least 2 years’ experience as a Legal Secretary/PA, or similar;

4) Positive attitude, ‘can do’ approach and prepared to ‘muck-in’ where necessary.

The candidate must be available to start as soon as possible. Part time applicants will be considered.

Salary: Dependent upon experience. The annual salary range is based on full time employment, and shall be pro-rated for part time workers.
