Job Overview

We are seeking a proactive and organised Admin Assistant/Receptionist/Personal Assistant to join our dynamic team. This role involves providing essential administrative support, managing front desk operations, and assisting with various personal and organisational tasks. The ideal candidate will possess excellent communication skills, be highly efficient, and comfortable handling multiple responsibilities in a fast-paced environment. This position offers an excellent opportunity to develop your career within a professional setting while contributing to the smooth running of our organisation.

Duties

Greeting visitors and managing the reception area with professionalism and courtesy
Answering phone calls, directing enquiries, and maintaining effective phone etiquette
Managing appointments, scheduling meetings, and coordinating calendars using Microsoft Office and Google Workspace tools
Data entry and maintaining accurate records using software such as QuickBooks and other organisational programmes
Handling correspondence via email and postal mail, ensuring timely responses
Assisting with invoicing, billing, and basic bookkeeping tasks using QuickBooks
Organising files, documents, and office supplies to ensure an efficient workspace
Supporting personal tasks for senior staff as required, including travel arrangements or event planning
Performing general clerical duties such as photocopying, scanning, and filing

Skills

Proven administrative experience with strong organisational skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and Google Workspace applications
Experience with data entry and maintaining accurate records
Familiarity with QuickBooks or similar accounting software is desirable
Excellent phone etiquette and communication skills
Strong typing skills for efficient document preparation and correspondence
Office experience demonstrating ability to multitask effectively in a busy environment
Ability to prioritise tasks independently whilst maintaining attention to detail
Professional demeanour with a proactive approach to problem-solving
