Full job description

J*We are looking for an experienced, professional and highly organised Full-Time Receptionist* to join our busy beauty and aesthetic clinic.

This is a full-time position working on a rota basis and will include both Saturday and Sunday working, so full weekend availability is essential. Days off will be provided during the week in accordance with the rota.

The receptionist is central to the day-to-day running of the clinic. You will be the first point of contact for clients and will be responsible for delivering an excellent client experience while ensuring appointments, enquiries, payments and clinic administration are managed efficiently.

This role would suit someone who enjoys a busy environment and understands that reception in an aesthetic clinic is more than answering the telephone. We need someone proactive, commercially aware and confident in turning enquiries into bookings.

Key Responsibilities

Welcome clients and provide a professional, friendly experience from arrival through to departure
Manage the clinic reception and ensure the front-of-house area is maintained to a high standard
Answer telephone calls, WhatsApp messages, emails and online enquiries promptly
Manage new leads and follow up prospective clients
Book consultations and treatments and actively convert enquiries into appointments
Manage practitioner and doctor diaries efficiently
Confirm, reschedule and manage appointments
Minimise diary gaps, cancellations and missed appointments
Take deposits and treatment payments accurately
Process client check-ins and check-outs
Provide clients with accurate general information regarding treatments, prices, packages and finance options
Ensure client records and contact information are kept accurate and up to date
Support practitioners with client flow and the smooth running of treatment schedules
Contact clients for appointment reminders and appropriate follow-ups
Assist with before and after photography and consent processes where required
Encourage satisfied clients to provide feedback and reviews
Maintain excellent standards of presentation throughout reception and client areas
Monitor clinic supplies and report stock requirements
Complete daily administrative and reception duties
Handle client concerns professionally and escalate clinical matters or complaints appropriately
Maintain strict client confidentiality and comply with data protection requirements
Follow all clinic policies, procedures and health and safety standards

Sales & Client Experience

A key part of this position is ensuring that enquiries are not simply answered but properly followed through.

The successful candidate will be expected to:

Respond quickly to new enquiries
Understand what the client is looking to achieve
Recommend an appropriate consultation or next step
Follow up clients who have enquired but not booked
Confidently discuss current clinic offers and treatment packages
Support the clinic in achieving booking and revenue targets
Build strong relationships with new and existing clients
Encourage repeat bookings and client retention

You do not need to be a pushy salesperson, but you must be comfortable discussing prices, asking for the booking and following up potential clients.

Competent with computers, email and booking systems
Able to remain calm and professional when dealing with difficult situations
Genuinely interested in the beauty, skincare and aesthetic industry

Experience

Previous experience within aesthetics, beauty, cosmetic surgery, private healthcare, dentistry, luxury retail, hospitality or another premium client-facing environment is highly desirable.

Previous reception, customer service or sales experience is preferred.

Knowledge of aesthetic treatments such as laser treatments, injectables, advanced skincare and body treatments would be an advantage, although full training on clinic treatments and systems will be provided.

Working Pattern

This is a full-time position working five days per week on a rota basis.

The successful candidate must be available to work Saturdays and Sundays from 10:00am to 7:00pm, with days off allocated during the week.
