Job Summary

We are seeking a dynamic and organised Part Time Office Administrator / PA to join our team in Chingford, London. This role offers an exciting opportunity to support daily office operations, streamline administrative processes, and ensure a productive work environment within the Construction Industry. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to managing administrative tasks. This position is perfect for someone looking to contribute to a vibrant team while developing valuable office management skills.

Duties

Oversee the daily operations of the office, ensuring an efficient and well organised working environment.
Manage office supplies, equipment, and facilities, liaising with external suppliers and service providers.
Implement and maintain office systems, processes, and procedures to improve efficiency. Maintain a high level of document management and record keeping in line with OCGs processes.
Invoicing and assistance with managing timesheets.
Provide high-level administrative support OCG’s Director and senior members of staff, including diary management and scheduling.
Coordinate meetings, prepare agendas, and take minutes where required.
Manage correspondence, including emails, calls, and document preparations. Arrange travel and accommodation.
Assist with onboarding of new staff, including workspace setup and documentation.
Handle confidential information with discretion and professionalism.
Any other ad hoc duties required by the Director or OCG project teams.
Proven experience with administrative tasks and office management in a professional setting
Strong organizational skills with the ability to multitask and prioritize effectively
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks or other accounting software for financial record keeping
Excellent data entry skills with high accuracy and attention to detail
Knowledge of clerical procedures including filing systems and document management
Exceptional phone etiquette and communication skills for interacting with clients, vendors, and team members
Adept at typing quickly and accurately to support various administrative functions
