Site Administrator – Felling

Job Purpose

We are looking for an organised and proactive Site Administrator to join our manufacturing site in Felling, Gateshead. Reporting to the Site Director, you will play a vital role in ensuring the smooth day-to-day operation of the site by providing professional administrative and operational support across multiple business functions.

As a key point of contact for employees, visitors, suppliers and the site leadership team, you'll coordinate a wide range of activities including administration, communications, employee support, travel, facilities and financial processes. This is a varied role that requires exceptional organisation, attention to detail and the ability to thrive in a fast-paced manufacturing environment.

Job Responsibilities
Provide professional administrative support to the site management team and wider business functions.
Coordinate calendars, meetings, visitor arrangements and travel bookings.
Prepare reports, presentations, meeting agendas and minutes.
Maintain accurate records, filing systems and confidential documentation.
Coordinate internal communications and prepare site-wide announcements.
Provide reception cover when required, welcoming visitors and supporting front-of-house activities.
Support employee onboarding, inductions and site access arrangements.
Coordinate Occupational Health appointments and employee engagement initiatives.
Organise meetings, training sessions, audits and employee events.
Manage office supplies, PPE, stationery and general site requirements.
Support purchase orders, invoice processing and operational administration.
Coordinate utility administration, overtime arrangements and other site support activities.
Build strong relationships with colleagues, contractors, suppliers and external stakeholders to ensure the site operates efficiently.

Job Requirements
Previous experience in an administrative, office support, receptionist, personal assistant or site coordination role.
Experience working within a manufacturing, industrial or operational environment is desirable.
Excellent working knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
Strong organisational skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Ability to handle confidential information with professionalism and discretion.
A proactive approach with excellent problem-solving and coordination skills.
Friendly, approachable and professional with outstanding interpersonal skills.
Ability to work independently while contributing as part of a collaborative team.
