Full job description

AQUASTAR MECHANICAL & ELECTRICAL LTD is seeking an organised and commercially aware Construction Contract Administrator to support the administration and delivery of its mechanical, electrical and construction-related contracts.

The successful candidate will work closely with company directors, project managers, quantity surveyors, site teams, clients, suppliers and subcontractors. The role will be responsible for maintaining accurate contractual records, supporting procurement and tendering, administering variations and payment documentation, monitoring contractual obligations and ensuring that project information is properly controlled.

This position requires strong administrative ability, knowledge of construction project documentation and the confidence to communicate with internal and external stakeholders.

Key responsibilities

Maintain contract registers, subcontract records and project documentation.
Assist with the preparation, review and administration of construction and M&E contracts.
Prepare and issue subcontract orders, purchase orders and supporting contractual documents.
Monitor contractual deadlines, deliverables, notices and reporting requirements.
Support the preparation and administration of variations, change orders and compensation-event records.
Maintain records of quotations, instructions, requests for information and contract correspondence.
Assist project managers with project programmes, progress reports and commercial documentation.
Coordinate documentation relating to interim valuations, payment applications and subcontractor payments.
Liaise with clients, consultants, suppliers, subcontractors and project teams regarding contractual matters.
Support tendering and procurement activities, including obtaining quotations and comparing supplier or subcontractor submissions.
Maintain accurate records of project costs, commitments, variations and outstanding actions.
Record and distribute minutes from contract, commercial and project meetings.
Monitor subcontractor documentation, insurance records, warranties and compliance information.
Assist with the preparation of project handover files, operation and maintenance manuals and close-out documentation.
Identify potential contractual risks, delays or documentation gaps and report them to management.
Support compliance with company procedures, contractual requirements and relevant construction regulations.
Maintain confidentiality and ensure that commercially sensitive information is managed appropriately.
Undertake other contract-administration duties reasonably required for the delivery of the company’s projects.

Essential qualifications and experience

A relevant qualification in construction management, project management, quantity surveying, contract management, business administration or a related discipline.
Relevant experience in contract administration, construction administration, project coordination, facilities management or a similar commercial role.
Experience maintaining construction or engineering project documentation.
Understanding of contractual correspondence, variations, purchase orders, payment records and subcontract administration.
Strong written and verbal communication skills.
Good numerical, analytical and record-management ability.
Strong attention to detail and the ability to manage several priorities simultaneously.
Proficiency in Microsoft Word, Excel, Outlook and document-management systems.
Ability to work independently while coordinating effectively with project and site teams.
Willingness to visit construction sites when required.

Desirable qualifications and experience

Experience working for a mechanical and electrical contractor.
Familiarity with JCT, NEC or other UK construction contract forms.
Experience supporting tendering, procurement or subcontractor appointments.
Knowledge of construction payment processes, variations and change control.
Understanding of health and safety documentation and Construction Design and Management requirements.
Experience working with project-management, accounting or construction document-control software.
Knowledge of mechanical, electrical or building-services projects.

Salary and employment terms

Annual salary: £41,700.
Working hours: 37.5 hours per week.
Employment type: Full-time and permanent.
Primary workplace: 41 Bacon Lane, London, NW9 9AY.
Travel to construction sites and client premises may occasionally be required.
