Job Overview

We are seeking a motivated and detail-oriented Trainee Office Administrator to join our dynamic team. This entry-level role offers an exciting opportunity to develop essential administrative skills while supporting daily office operations. As a key member of our administrative team, you will gain hands-on experience in managing office tasks, enhancing organizational efficiency, and learning the fundamentals of business administration. This paid position is perfect for individuals eager to kick-start their career in office management and administrative support.

Responsibilities

Assist with general office duties such as filing, photocopying, and data entry to ensure smooth daily operations
Support incoming calls with professional phone etiquette, directing inquiries appropriately and taking accurate messages
Maintain organized records and update databases using Microsoft Office applications and Google Workspace tools
Help coordinate meetings, schedule appointments, and prepare necessary materials for internal and external events
Enter financial data into QuickBooks or similar accounting software with precision and attention to detail
Support clerical tasks including document formatting, mailing, and inventory management
Collaborate with team members to improve office processes and ensure efficient workflow

Skills

Prior office experience or administrative internship experience is advantageous but not required; enthusiasm to learn is essential
Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Good typing speed and accuracy for data entry tasks
Demonstrated phone etiquette with clear communication skills
Basic knowledge of QuickBooks or similar accounting software is a plus
