Job Summary

General Administrator & Personal Assistant

365 Motors Ltd – Chorley, Lancashire
Full-time, Permanent
Salary: £26,500 per year
Hours: 40 hours per week

About the Role

365 Motors is looking for an organised, reliable and proactive General Administrator & Personal Assistant to support the Managing Director and assist with the everyday administration of our growing dealership.

This is a varied office-based role covering general administration, diary management, dealership paperwork, customer correspondence and light aftercare support. The successful candidate will help keep daily tasks organised, follow up outstanding matters and ensure the office runs smoothly.

We are looking for someone who takes pride in being organised, communicates professionally and can make sure important tasks and customer enquiries are followed through.

Key Responsibilities

Completing general day-to-day dealership administration.
Preparing and checking vehicle sales and handover paperwork.
Processing invoices, warranty registrations and dealership documents.
Maintaining accurate customer and vehicle records on our CRM system.
Organising inspection reports, MOT certificates, service records, invoices and job cards.
Answering telephone calls and responding to emails professionally.
Providing friendly and helpful customer service.
Assisting with customer aftercare enquiries.
Logging aftercare cases and following up outstanding actions.
Keeping customers updated on the progress of inspections or repairs.
Liaising with garages, warranty providers, finance companies and other third parties.
Coordinating customer appointments, vehicle collections and deliveries.
Supporting the Managing Director with general administrative tasks.
Assisting the sales and workshop teams when required.

What We Are Looking For

Excellent organisational and time-management skills.
Strong attention to detail.
A friendly and professional manner.
Confidence communicating with customers by telephone, email and in person.
The ability to prioritise tasks and follow up outstanding matters.
Good written and verbal communication skills.
Confidence using Microsoft Word, Excel, Outlook and general computer systems.
A reliable, proactive and positive approach.
The ability to work independently and as part of a team.

Previous administration or customer-service experience is preferred. Experience within a dealership or the motor trade would be beneficial but is not essential, as full training will be provided.

A salary of £26,500 per year.
