Full job description

Hours: 28 hours per week, Salary: £18,550–£22,400 per year, depending on experience

HCCN is a small, friendly local charity supporting adults living with and beyond cancer across Huntingdonshire.

We provide a wide range of support including groups, activities, workshops, counselling, complementary therapies and opportunities for people to connect with others who understand what they are going through.

We are now looking for a highly organised and approachable Administrator to help keep the charity running smoothly behind the scenes.

About the role

This is a varied and important role working closely with our Operations Manager and wider management team.

You will help manage HCCN’s day-to-day administration, systems and records and will often be one of the first points of contact for people using our services, supporters, contractors and volunteers.

We are looking for someone who enjoys being organised, is confident using IT – particularly Excel – and takes pride in keeping information accurate and up to date.

Previous charity experience is not essential. Strong administration experience and the ability to learn our systems and processes are much more important.

What you will be doing

Your responsibilities will include:

Providing day-to-day administrative support to the HCCN management team.
Monitoring shared email accounts and responding to or directing enquiries appropriately.
Processing new service-user and supporter applications.
Maintaining HCCN’s Mailchimp database and other records.
Managing referrals and waiting lists for counselling, reiki, reflexology and other one-to-one support.
Providing administrative support for HCCN workshops and programmes, including Living Well with Cancer and Patient to Person.
Managing programme bookings, participant communications and waiting lists.
Arranging Trustee, AGM and operational meetings, preparing papers and taking accurate minutes.
Creating and maintaining Word documents, Excel spreadsheets, trackers and reports.
Processing invoices and purchase orders and liaising with our bookkeeper.
Maintaining grant, impact and reporting records.
Preparing donor thank-you letters and certificates and maintaining supporter records.
Maintaining policy, training and compliance records.
Supporting the onboarding and administration of employees, volunteers and contractors.
Supervising volunteers who provide administrative and practical support.
Maintaining organised electronic records using Google Workspace and cloud-based storage.

You will not be expected to provide medical or therapeutic advice. Complex, sensitive or safeguarding matters are referred to the appropriate HCCN manager.

What we are looking for

Essential

You will need:

Previous experience in an administrative role.
Excellent organisational skills and the ability to manage competing priorities.
Strong attention to detail and accuracy.
Confidence using Microsoft Word and Excel, including spreadsheets and trackers.
Experience maintaining accurate databases, records or information systems.
Confidence using email and cloud-based document storage.
Good written and verbal communication skills.
Experience dealing professionally with members of the public, customers, clients or service users.
The ability to handle confidential and sensitive information appropriately.
Experience organising meetings, appointments, events or similar activities.
The ability to work independently and take responsibility for completing tasks accurately.
A warm, approachable and professional manner.

It would be helpful if you also have experience of:

Mailchimp or another email/database system.
Google Workspace.
Processing invoices and purchase orders.
Taking formal meeting minutes.
Maintaining training, compliance or contractor records.
Supervising volunteers or administrative support.
Working in a health, community, charity or not-for-profit setting.

These are desirable rather than essential.
