Full job description

Head Office Administrator / Patient Coordinator

Location: Harrow (Office-Based)

We are a mobile opticians service with our head office based in Harrow. We are looking for a confident, organised, and customer-focused individual to join our busy office team.

This is an office-based role that requires excellent communication skills, a strong sales background, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities

Confidently handle inbound and outbound telephone calls.
Speak with patients' families and Next of Kin (NOK) following sight tests to explain results clearly and professionally.
Process payments accurately and efficiently.
Complete administrative tasks, including generating PVNs within required deadlines.
Arrange and prepare spectacles at head office once deliveries are received.
Update and maintain accurate patient records, spreadsheets, and office systems.
Ensure all administrative tasks are completed within agreed timeframes while maintaining a high level of accuracy.
Provide excellent customer service and support to patients, families, and colleagues.
Work towards and achieve monthly performance targets.

About You

Confident and professional telephone manner.
Previous sales experience with a proven ability to meet and exceed targets.
Strong administrative and organisational skills.
Excellent computer literacy with confidence using Microsoft Office, particularly Excel, Outlook, and Word.
Comfortable working with spreadsheets, databases, and multiple computer systems.
Able to prioritise a busy workload and work to strict deadlines.
Excellent communication and interpersonal skills.
Strong attention to detail with the ability to multitask.
A positive, proactive, and team-oriented attitude.

What You'll Need to Succeed

Experience in a customer service, sales, or administrative role.
Confidence speaking to patients, families, and healthcare professionals over the phone.
Ability to explain sight test outcomes clearly and professionally.
Confidence taking payments and ensuring all transactions are processed accurately.
Excellent IT skills and the ability to learn new systems quickly.
Ability to work under pressure in a busy office environment while maintaining a high standard of customer service.
A commitment to achieving monthly targets and contributing to the success of the team.
