Contract: 9.30am to 4.00pm. Term time only + inset days and Founders' day

Salary: £18k per annum

Tring Park School for the Performing Arts is one of the UK’s leading vocational and academic schools, set within stunning Hertfordshire countryside just 30 minutes from London. The School is home to 360 day and boarding pupils aged 7–19, combining academic excellence with world-class performing arts training.

We are seeking to appoint a Receptionist to join our team on a term-time basis. As the first point of contact for visitors, parents, staff, pupils and contractors, you will provide a professional, friendly and efficient front-of-house service, creating a positive and welcoming experience for all. Alongside reception duties, you will provide administrative support to help ensure the smooth running of the School Office. The successful candidate will play an important role in supporting effective communication across the School, whilst helping to maintain the highest standards of safeguarding, security and operational efficiency.

Main duties:

Front Desk & Visitor Management

Welcome and assist parents, visitors, guests, contractors, and other stakeholders in a professional and courteous manner.
Ensure all visitors sign in, wear appropriate identification, and comply with school safeguarding and security procedures.
Operate the school switchboard, answering and directing incoming telephone calls, handling general enquiries, and taking accurate messages.
Monitor the main entrance and control access to the school site, including the operation of security gates and visitor management systems.
Escort visitors around the school site as required.
Maintain a positive and professional first impression of the school at all times.

General Administration

Monitor and manage the shared school information inbox, ensuring enquiries are responded to promptly and directed appropriately.
Process incoming and outgoing mail, parcels, and deliveries.
Provide administrative support to the school office, including photocopying, filing, scanning, data entry, and general correspondence.
Support school events including Open Days, Familiarisation Days, performances, and other school functions.
Arrange taxi bookings and transportation for visitors and guests as required.
Distribute and monitor Event Forms and ensure relevant records are maintained.
Maintain up-to-date Fire Lists and assist with emergency preparedness procedures.
Support the planning and administration of Educational Visits, including preparation of documentation and liaison with staff.
Assist with maintaining accurate school records and databases in line with GDPR and school policies.
Undertake other reasonable administrative duties as directed by the Business Director or Senior Leadership Team.

Safeguarding and Child Protection

The post holder will be expected to:

Demonstrate a commitment to safeguarding and promoting the welfare of children and young people.
Adhere to all school safeguarding, child protection, and health and safety policies and procedures.
Report any concerns regarding the welfare of pupils in accordance with school procedures.
Participate in safeguarding training and professional development as required.

Person specification:

Essential Qualifications and Experience

Educated to GCSE level (or equivalent), including GCSE English and Mathematics.
Experience of working in a reception and/or administrative support role.
Experience of dealing confidently and professionally with visitors, parents, and external stakeholders.
Competent user of Microsoft Office applications and familiar with administrative IT systems.
Good standards of literacy and numeracy.

Ability to work effectively as part of a small team while independently managing workload and priorities.
Strong organisational and time-management skills.
Ability to multitask and remain calm and professional in a busy environment.

Desirable

Previous experience working within a school or educational environment.
Knowledge and understanding of school safeguarding procedures and statutory requirements.
Experience using school management information systems.
