Job Summary

Job Purpose

The Medical Receptionist is the first point of contact for patients and visitors to the practice. The role is essential in delivering a professional, friendly, and efficient service, supporting the smooth running of the practice while maintaining patient confidentiality at all times. The receptionist role is primarily focused on improving patient access to the practice. A key requirement of the role is ensuring that the telephone is answered promptly during your contracted working hours.

Key Responsibilities

Patient Services

Greet patients, visitors, and contractors in a polite, professional, and helpful manner
Answer incoming telephone calls promptly and courteously
Book, amend, and cancel appointments in line with practice protocols
Manage patient enquiries, signposting appropriately to clinicians or other Practice Teams.
Handle prescription requests in accordance with practice procedures

Administrative Duties

Maintain and update patient records accurately on the clinical system
Scan documents as required
Process incoming and outgoing mail (paper and electronic) - if appropriate
Support clinical staff and Practice Management Team with administrative tasks as required
Assist with recalls, invitations, and patient communications

Confidentiality & Governance

Maintain strict confidentiality of patient and practice information
Adhere to data protection legislation, NHS confidentiality guidelines, and practice policies
Follow safeguarding procedures and raise concerns appropriately
Comply with infection control, health & safety, and equality policies

Practice Support

Support the wider administrative and reception team
Assist during busy periods and provide cover where required
Participate in team meetings and training sessions
Contribute to a positive and supportive team environment

Person Specification

Essential

Excellent communication and interpersonal skills
Friendly, calm, and professional manner
Ability to deal with sensitive and sometimes challenging situations
Good organisational and time-management skills
Ability to work effectively under pressure and prioritise workload
Competent IT skills and ability to learn clinical systems
Understanding of confidentiality and data protection

Desirable

Previous experience working in a GP practice or healthcare setting
Knowledge of GP clinical systems
Experience of patient-facing customer service roles
Understanding of NHS services and primary care

Other Requirements

Willingness to undertake training as required
Flexibility to cover additional hours when needed
Commitment to equality, diversity, and patient-centred care

We are seeking a dedicated and professional Medical Receptionist to join our healthcare team. The ideal candidate will be the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong organisational skills, attention to detail, and the ability to work in a fast-paced environment.

Sidcup Medical Centre currently has 5 sites and you will need to be able to work at each of these sites as per the needs of the rota. The sites are in DA14, DA15, DA5 and DA6.

If you are unable to work certain days/times then please do not apply. We need candidates to be able to work Monday to Friday 8am-6.30pm. We are keen to adequately cover the rota to support our existing team so it is imperative that you are able to cover the days/times currently needed and this will require you to work different AM/PM sessions Monday-Friday.

Responsibilities

Greet patients warmly and assist them with the check-in process.
Schedule appointments and manage the calendar for healthcare providers.
Handle incoming calls, responding to inquiries and directing calls as necessary.
Maintain accurate patient records and ensure confidentiality at all times.
Process patient registrations and insurance information.
Assist with billing inquiries and coordinate with insurance companies as needed.
Ensure the reception area is tidy and welcoming for patients.
Collaborate with medical staff to facilitate smooth patient flow.

Experience

Previous experience in an office or administrative role is preferred, particularly within a healthcare setting.
Proficiency in using office equipment such as computers, printers, and telephones.
Strong communication skills, both verbal and written, with a focus on customer service.
Ability to multitask effectively while maintaining accuracy in a busy environment.
Familiarity with medical terminology is advantageous but not essential.
