Job Overview

We are seeking a dynamic and highly organised Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that everything runs smoothly and efficiently. Your proactive approach and attention to detail will help create a welcoming environment for staff, clients, and visitors alike. Responsibilities

Liaising with Landlords and contractors to arrange maintenance works
Ensuring all procedures are followed and accurate record keeping is maintained
Manage front desk duties, including greeting visitors and handling phone inquiries with professional etiquette
Maintain organised filing systems, both digital and physical, to ensure quick access to important documents
Perform data entry tasks accurately using tools like Microsoft Office, Google Workspace, and QuickBooks
Maintaining regular accountancy reconciliations for receipts and payments
Schedule appointments, meetings, and coordinate calendars for team members effectively
Assist with invoicing, billing, and basic bookkeeping responsibilities using QuickBooks software
Handle clerical tasks such as photocopying, scanning, mailing, and preparing correspondence

Skills

Proven office experience with a strong understanding of administrative procedures
Excellent computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry software
Strong organisational skills with the ability to prioritize tasks efficiently in a busy environment
Exceptional phone etiquette and communication skills to interact professionally with clients and team members
Experience with QuickBooks or similar accounting software is a plus
Demonstrated clerical experience with attention to detail and confidentiality
