About the Role

The successful candidate will work closely with warehouse colleagues, inventory teams, suppliers, purchasing staff and transport providers to maintain accurate records, process stock documentation, coordinate deliveries and support the smooth movement of goods through the warehouse.

This role is suitable for someone with experience in warehouse administration, inventory control, logistics, order processing or general operations who is comfortable working with computer systems, documentation and a busy warehouse environment.

Key Responsibilities

Warehouse Administration: Provide day-to-day administrative support for warehouse and inventory operations.

Goods-In Documentation: Process records relating to incoming deliveries and received stock.

Delivery Records: Maintain accurate information for supplier deliveries and warehouse receipts.

Inventory Updates: Enter stock movements and adjustments into relevant warehouse or inventory systems.

Stock Records: Maintain accurate records of product quantities, locations and movements.

Goods-Out Administration: Prepare documentation required for outbound orders and dispatches.

Order Processing: Review and process internal and external warehouse orders.

Picking Documentation: Prepare picking lists and supporting paperwork for warehouse teams.

Packing Documentation: Ensure packing and dispatch information is complete and accurate.

Dispatch Coordination: Support scheduling and administration of outgoing shipments.

Delivery Scheduling: Coordinate delivery and collection times with suppliers and transport providers.

Transport Liaison: Communicate with drivers, couriers and logistics partners regarding warehouse collections.

Stock Reconciliation: Assist with comparing physical inventory against system records.

Stock Discrepancies: Investigate basic inventory differences and escalate unresolved issues.

Cycle Counts: Support scheduled stock counts and inventory-checking activities.

Inventory Reports: Prepare routine reports showing stock levels, movements and discrepancies.

Warehouse Systems: Maintain accurate information within warehouse-management or inventory systems.

Data Entry: Enter warehouse transactions accurately and within required timeframes.

System Accuracy: Review records for incomplete, duplicated or incorrect information.

Purchase Orders: Check incoming goods against purchase-order information.

Supplier Documentation: Maintain organised supplier delivery and product records.

Delivery Notes: Process and file delivery notes and goods-received documentation.

Returns Administration: Prepare paperwork relating to returned or rejected goods.

Damaged Stock: Record damaged items and coordinate relevant documentation.

Missing Stock: Support investigation of missing or incorrectly recorded products.

Internal Requests: Process stock requests from operational and facilities teams.

Materials Coordination: Track materials and supplies required for ongoing operational activities.

Equipment Records: Maintain records of stored equipment and operational assets where required.

Location Records: Ensure warehouse bin and storage-location information remains current.

Labelling Support: Prepare stock, location and dispatch labels.

Document Control: Maintain well-organised warehouse documentation and electronic files.

Record Retention: Store operational documents according to internal procedures.

Email Administration: Monitor and respond to routine warehouse-related correspondence.

Telephone Queries: Handle routine enquiries from suppliers, drivers and internal departments.

Supplier Coordination: Follow up on delivery schedules and outstanding orders.

Operations Support: Provide warehouse information to purchasing and operational teams.

Customer Service Support: Provide order or dispatch information where required.

Finance Coordination: Supply delivery and purchase documentation to finance colleagues.

Invoice Queries: Assist with investigating discrepancies between deliveries and supplier invoices.

Daily Reporting: Prepare daily warehouse activity summaries where required.

KPI Support: Maintain information used for warehouse performance reporting.

Stock Availability: Provide accurate stock information to relevant departments.

Priority Orders: Support administration of urgent or time-sensitive requests.

Workload Coordination: Help organise administrative priorities according to warehouse activity.

Compliance Records: Maintain documentation required for internal procedures and audits.

Health and Safety Records: Support maintenance of routine warehouse safety documentation.

Process Improvement: Identify practical opportunities to simplify administrative processes.

Cross-Functional Support: Work collaboratively with warehouse, procurement, transport and facilities teams.

Continuous Improvement: Contribute to improvements in warehouse accuracy, organisation and efficiency.

What We Are Looking For

Experience: Previous experience in warehouse administration, inventory, logistics, stock control, order processing or a similar operational role.

Administrative Skills: Strong ability to maintain accurate records and process operational documentation.

Warehouse Awareness: Good understanding of basic warehouse and inventory processes.

Inventory Knowledge: Familiarity with stock movements, goods receiving and dispatch procedures.

Data Entry: High level of accuracy when entering and maintaining system information.

Computer Skills: Comfortable using business systems and standard office applications.

Microsoft Excel: Good working knowledge of spreadsheets for stock records and reporting.

Warehouse Systems: Experience with warehouse-management, ERP or inventory systems would be advantageous.

Attention to Detail: Careful approach to quantities, reference numbers and documentation.

Organisation: Strong ability to manage several administrative tasks simultaneously.

Time Management: Ability to prioritise work according to warehouse deadlines.

Problem Solving: Practical approach to investigating stock or documentation discrepancies.

Numerical Skills: Comfortable working with quantities, stock figures and delivery information.

Communication: Clear and professional written and verbal communication skills.

Supplier Coordination: Confidence communicating with suppliers and delivery providers.

Teamwork: Ability to work effectively with warehouse and office-based colleagues.
