A highly organised and professional Administrative Assistant with experience supporting the daily operations of a busy car dealership environment in London. Skilled in managing administrative processes, maintaining accurate records, coordinating customer communications, and ensuring smooth day-to-day dealership operations. Confident in handling multiple responsibilities simultaneously while delivering excellent customer service and maintaining high levels of accuracy and professionalism.
Key Responsibilities:
* Managing and organising dealership paperwork including vehicle sales documents, invoices, finance agreements, registration paperwork, warranties, and customer records.
* Updating and maintaining dealership computer systems with accurate customer, vehicle, sales, stock, and service information.
* Assisting with bookkeeping duties including processing invoices, recording payments, reconciling transactions, handling receipts, and supporting accounts administration.
* Answering incoming phone calls professionally, directing enquiries to the relevant departments, and assisting customers with appointments, vehicle information, and general enquiries.
* Responding to emails promptly and professionally, maintaining effective communication with customers, suppliers, finance companies, and internal departments.
* Providing front-desk and administrative support to sales teams, managers, and service departments.
* Coordinating appointments, meetings, vehicle collections, deliveries, and customer handovers.
* Maintaining organised filing systems for both digital and physical documentation in line with company and legal requirements.
* Assisting with vehicle stock administration including logging vehicle arrivals, registrations, MOT details, service histories, and ownership documentation.
* Handling customer queries and resolving issues in a calm, professional, and customer-focused manner.
* Monitoring office supplies, placing orders when necessary, and ensuring the office environment remains organised and efficient.
* Supporting compliance procedures and ensuring confidentiality of customer and financial information at all times.
* Liaising with external companies such as finance providers, DVLA services, insurance companies, and suppliers when required.
* Using Microsoft Office, dealership management systems, spreadsheets, and databases efficiently to maintain accurate records and reporting.
* Supporting the smooth running of the dealership by multitasking effectively in a fast-paced environment.
