Front Desk Administrator / Administrative Assistant

Join Our Growing Team

**This is a 10-hour-per-week position. Applicants must have outstanding telephone skills and be confident communicating professionally with patients over the phone. Previous experience in a telephone-based customer service or reception role is essential.**

This is a self employed position with opportunity for a permanent employed contract based at our** Kearsley site: T4 Physio clinic 69 Bolton road BL4 8DB. **

Due to continued growth, we are looking for a full-time Front Desk Administrator to join our busy and friendly team.

As the first point of contact for our patients, you will play a vital role in creating an exceptional experience from the very first interaction. This position is ideal for someone who thrives in a fast-paced environment, enjoys helping people, and takes pride in being highly organised and detail-oriented.

We are seeking an experienced administrator with a strong customer service background who is confident communicating with people both face-to-face and over the phone. If you are proactive, professional, and enjoy building relationships while delivering outstanding service, we would love to hear from you.

About the Role

As a Front Desk Administrator, you will be responsible for ensuring the smooth day-to-day running of the clinic reception while providing an exceptional experience for every patient.

The successful candidate will be:

Experienced in administration and customer service roles.
Comfortable handling inbound and outbound phone calls.
Highly organised with excellent attention to detail.
Confident discussing fees, payments, and treatment costs with patients.
Able to multitask, prioritise workloads, and meet deadlines.
A self-starter who takes initiative and works independently.

Key Responsibilities

Answer and manage inbound calls from prospective and existing patients.
Schedule appointments and manage clinic diaries effectively.
Communicate the value and benefits of our services confidently and professionally.
Handle enquiries regarding treatment costs, payments, and fees.
Build rapport with prospective patients and guide them through the booking process.
Create a welcoming and professional environment for all visitors to the clinic.
Ensure patients feel informed, supported, and excited about their appointments.
Maintain regular communication with patients before, during, and after treatment.
Process payments and manage invoicing accurately and efficiently.
Support clinic scheduling to maximise efficiency and patient satisfaction.
Build strong patient relationships and contribute to excellent patient experience outcomes.
Maintain accurate records and ensure administrative processes are followed consistently.
Assist in documenting and improving clinic systems and procedures.

Skills & Experience RequiredEssential

Previous experience in an administrative, reception, or customer service role.
Excellent verbal and written communication skills.
Confidence speaking with people on the phone and in person.
Strong organisational and time-management skills.
High level of accuracy and attention to detail.
Ability to prioritise tasks and work effectively in a fast-paced environment.
Confidence handling conversations regarding fees, payments, and costs.
Professional, positive, and empathetic approach to customer interactions.
Strong problem-solving skills and ability to think proactively.
